Let me take you behind the scenes. I’m building a product with my team—Digital Operations Director. Despite my track record, I made the classic leadership mistake: I fell back into the trap of constant, long, “necessary” meetings. Two hours, every day, with a team of eight. That’s a MASSIVE chunk of time—not just mine, but theirs too.
Here’s the kicker: One brave team member shared the truth. She told me—politely but directly—that these daily marathons of meetings were killing productivity, not boosting it.
Guess what? She was absolutely right.
This wake-up call made me realise something vital: if your own team feels unable to do their actual work because they’re always in meetings, you’ve got a problem. It takes integrity and confidence to give this sort of feedback, and as a leader you have to LISTEN.
So I did. And I dove back into the research. I used to be all about asynchronous working—but had let it slide. I knew I had to take action.
Here’s what I switched to—immediately:
Video messages, voice notes, and texts instead of live meetings
Allowing responses when it suits the individual
Daily “huddles” via quick updates—not meetings!
A weekly check-in (max!) to stay aligned
The biggest win? My team get their focus time back—no more 2-hour time sinks. Productivity is skyrocketing already.
Let’s talk numbers: Imagine paying seven highly skilled people to sit for two hours every single day. The burn rate is immense. When you look at what you’re actually achieving, it rarely justifies the investment.
My advice: Meetings should be a last resort, not your default. Asynchronous communication gives back time, focus, and creates true accountability—without micromanagement.
I’ll be honest with you—it’s a work in progress. I’m keeping metrics on meeting attendance and making sure everyone checks in with daily logs and huddle reports. It’s about creating structure, not chaos, while protecting deep work time.
