Managing projects solo is hard enough. Add a team with tight deadlines, and it’s like juggling flaming torches—blindfolded. Trust me, I’ve been there. As I run—and vlog—every single day toward my Runpreneur Challenge, project management is my unseen ultramarathon.
But here’s the twist: most teams collapse under the weight of too much to do, all at once. My solution? Pareto’s Law—the iconic 80:20 Principle—delivers laser focus, less drama, and real progress.
On Day 1,765, while launching a brand-new product (building it around live client feedback—scary but effective), I had to find a way to keep our big, multi-module project on track without stifling creativity or burning out my team.
So, here’s what I did:
Applied the 80:20 Rule
I got ruthless with priorities. What 20% of tasks would drive 80% of our outcomes? Suddenly, stress plummeted. The mountain became manageable.
Mapped the Critical Flow
Instead of drowning in detail, I framed out the essential steps from idea to launch—breaking projects into digestible modules, each with clear goals.
Divided and Conquered Tasks by Skill Level
Our product team split work into complex, moderate, and simple categories—so expertise matched task, and no one was out of their depth. (Ever tried asking a junior to build your database’s AI logic? Disaster!)
Streamlined Cross-Team Communication
Explainer videos, structured handovers, and client interface demos—no more guesswork. Everyone knew exactly what, why and how.
Standard Operating Procedures (SOPs) Built as We Went
Instead of perfecting docs after launch, we recorded process videos on the fly, then formalised them—space for both innovation and structure.
Result? We discovered we could handle 3 to 5 projects at once, moving with clarity, not chaos. Overwhelm lifted. Motivation soared. Output skyrocketed. Best of all, my team felt empowered—and more fulfilled.
